How to turn an iPhone Messages CSV export into a court-ready PDF

Last reviewed · 5 official sources cited below

Desktop tools that read iPhone backups can export Messages conversations as spreadsheets. iMazing documents exports of SMS, RCS and iMessage conversations to PDF, Excel, CSV, Text and RSMF. A CSV is the most flexible: one row per message, with the date, the sender and the text.

What a messages CSV usually contains

Column names vary by tool and version, so open the CSV in a spreadsheet first and look. A typical export has columns along these lines: a conversation or chat name, a message date, a direction or type (incoming/outgoing), the sender’s name and number, the text, and attachment file names.

  • Direction: rows marked outgoing often have an empty sender. TextExhibits labels them “Me (device owner)”.
  • Dates: check whether they include a time zone. Most are written like 2024-01-15 08:01:12 with no zone, so note which time zone they are in.
  • Attachments: usually just a file name. If you exported attachments too, put the CSV and the files in one ZIP so photos can be shown inline.

Decipher TextMessage, iExplorer and other CSV exports (beta)

Decipher TextMessage and iExplorer can also export a conversation as CSV. TextExhibits reads these, and other CSV files with a date column and a text column, with its general CSV reader. It recognizes headers like date, time, timestamp, from, sender, name, body, message, direction and type.

Beta: tested on sample layouts, not yet on a real export. If anything looks wrong, email [email protected]. Check a few messages against the phone, especially who sent each one.

Convert it

  1. Export the conversation(s) as CSV from your desktop tool. iMazing lets you choose a comma, tab or semicolon delimiter in its preferences, and all three work.
  2. Open the CSV in TextExhibits. If the CSV has several chat sessions, pick one.
  3. Set the time zone, the date range and redaction, add the caption, and download.

Why convert instead of using the tool’s own PDF?

The PDFs some tools produce look like the phone screen. That’s easy to recognize but long, and it can be hard to cite (“page 47, the third bubble”). A transcript with a reference number on every message, “Page X of Y”, optional Bates numbers and the SHA-256 of the CSV is easier to cite and check. Use whichever your court or lawyer prefers; some people file both.

Producing messages in discovery

If the other side asked for messages in a specific form, follow that request or the court’s order. In U.S. federal civil cases, FRCP 34 lets the requesting party specify the form for electronically stored information, and the responding party may object and state the form it intends to use.

Make the PDF in your browser

Open a WhatsApp export, SMS Backup & Restore XML or iMazing CSV and get a page-numbered transcript with the source file’s SHA-256 fingerprint. Nothing is uploaded.
